1. Who we are

CourtNetworks is operated by UbD Products Ltd, company number 17445762, registered in England and Wales.

This policy explains how we use personal data when operating CourtNetworks.

A club, venue, organiser or other organisation may also decide how personal data is used for its own activities. In that case it may be a separate controller. Where we process personal data only on its instructions, our Data Processing Addendum applies.

2. Information we use

Depending on how CourtNetworks is used, we may process:

  • account, profile and contact information;
  • age, eligibility and guardian-management information;
  • registrations and participation information;
  • sporting and activity records, including schedules, fixtures, scores, standings and results;
  • messages, posts, announcements and notification information;
  • organiser, organisation, role and permission information;
  • subscription, billing and entitlement information where paid services are used;
  • technical, security and service-usage information; and
  • information provided when contacting us or exercising a legal right.

We do not need every type of information from every person.

3. Where information comes from

We may receive personal data:

  • directly from you;
  • from a parent, guardian or authorised profile manager;
  • from an organiser or organisation;
  • from another participant where this is needed for shared sporting activity;
  • from existing CourtNetworks records;
  • automatically from your browser, device or network; and
  • from service providers that help us operate CourtNetworks.

4. Why we use personal data

We use personal data to:

  • provide and secure accounts, profiles and access;
  • enable participation in activities;
  • operate sporting and community features;
  • allow relevant people to communicate;
  • enable organisers and organisations to manage activity;
  • send operational notifications;
  • provide support;
  • maintain appropriate sporting and platform records;
  • administer paid services where offered;
  • prevent misuse and protect users;
  • understand and improve CourtNetworks; and
  • comply with legal and regulatory obligations.

Our main lawful bases are:

  • contract, where processing is needed to provide a requested service;
  • legitimate interests, where needed to operate, secure, improve or maintain CourtNetworks and those interests are not overridden by your rights;
  • consent, for genuinely optional processing where consent is appropriate; and
  • legal obligation, where processing is required by law.

Where an organiser or organisation is a separate controller, it is responsible for its own lawful basis and privacy information.

5. What other people may see

CourtNetworks includes public, shared and private areas.

Depending on the feature, activity and privacy settings, other people may see information needed for participation or the sporting record, such as:

  • display names and profile information intended for sharing;
  • activity or organisation associations;
  • entries, teams or partnerships;
  • fixtures, schedules, scores, standings and results;
  • organiser or contact information intended for participants; and
  • content intentionally posted to a public or shared area.

Private account information, dates of birth, private messages and other information not intended for public display are not normally shown publicly.

Relevant organisers, opponents, team members, guardians or authorised managers may receive additional information where reasonably needed to run or take part in an activity.

6. Children and managed profiles

Self-serve CourtNetworks accounts are for people aged 18 or over.

A person under 18 may take part through a guardian-managed profile. They do not receive their own CourtNetworks login.

We may process information about the young person together with the guardian's identity, contact information and relationship to them.

Junior contact information is not intended for public display. Sporting information may form part of a public or shared sporting record where appropriate for the activity.

If an existing self-serve account is later corrected to an age under 18, CourtNetworks may restrict that account while the appropriate guardian-managed arrangement is established.

7. Sporting records

Sporting records can involve several people and may need to remain consistent over time.

Closing an account does not necessarily require us to delete records such as draws, fixtures, scores, standings or results.

Where appropriate, we may remove or anonymise personal account information while retaining sporting history.

8. Communications and notifications

CourtNetworks may enable communications between relevant participants, organisers and organisation representatives.

Contact information may be made available to people who reasonably need it to arrange or manage activity. It must not be used for unrelated purposes.

We may send operational emails, in-app notifications and optional browser or device notifications. Available notification choices can be changed through the controls we provide.

9. Security, analytics and service improvement

We use technical, security and service-usage information to:

  • protect accounts and the service;
  • detect and investigate misuse;
  • diagnose problems;
  • understand adoption and feature use;
  • improve reliability and usability; and
  • support internal product and business reporting.

Where practical, longer-term reporting uses aggregated or de-identified information.

We do not sell personal data and do not use children's information for third-party behavioural advertising.

10. Paid services

Where CourtNetworks offers paid services, we may process information needed to administer charges, subscriptions, licences, entitlements, refunds, cancellations, accounting, disputes and fraud prevention.

Where an external payment provider is used, payment-card or bank details may be collected directly by that provider rather than stored by CourtNetworks.

11. Who we share information with

We share personal data only where reasonably necessary, including with:

  • organisers and organisations responsible for relevant activity;
  • relevant participants, team members, guardians or authorised profile managers;
  • service providers used to operate CourtNetworks;
  • professional advisers where necessary; and
  • regulators, courts, law-enforcement bodies or other authorities where required or permitted by law.

12. International transfers

Some service providers may process information outside the United Kingdom.

Where UK data-protection law requires a safeguard, we use or rely on an appropriate lawful transfer mechanism.

13. How long we keep information

We keep personal data only for as long as reasonably needed for the purpose for which it is used, including legal, security, accounting and sporting-record purposes.

Different types of information have different retention needs. We may delete, anonymise or aggregate information when identifiable data is no longer required.

Sporting records may be retained for longer where they form part of the historical record.

14. Your rights

Depending on the circumstances, you may have rights to:

  • access your personal data;
  • correct inaccurate information;
  • request deletion;
  • restrict processing;
  • object to certain processing;
  • receive certain information in a portable form; and
  • withdraw consent where processing depends on consent.

These rights are not absolute. For example, deleting an account does not automatically require us to erase a shared sporting record involving other people.

You may also complain to the Information Commissioner's Office (ICO).

15. Security

We use technical and organisational measures appropriate to the nature of CourtNetworks and the information we process.

No online service can guarantee absolute security. Please protect your password, email account, signed-in devices and private access links.

16. Changes to this policy

We may update this policy as CourtNetworks, our providers or the law change.

The current version and effective date will be shown at the top. If a change materially affects how we use personal data, we will provide appropriate notice.
